Job Overview:

As a member of McDermott’s global Sustainability & Governance team, support social sustainability at project site.

Key Tasks and Responsibilities:

  • Administrative Support:

  • Provide administrative assistance to the social department, including scheduling meetings, managing calendars, and handling correspondence

  • Communicate scheduled appointments, book meeting rooms, take minutes and manage staff calendars

  • Maintain organized filing systems and databases, ensuring accurate and up-to-date records of departmental activities and resources

  • Social Activity Coordination:

  • Assist in coordinating and tracking various activities and initiatives led by the social department, ensuring timely completion and adherence to deadlines

  • Collaborate with team members to allocate resources, track project social milestones, and monitor progress against goals

  • Communication Facilitation:

  • Serve as a primary point of contact for internal and external inquiries related to the social department, responding promptly and professionally to requests for information and assistance

  • Assist in drafting written communications, including memos, and correspondence on behalf of the social department.

  • Collect, organize, and store information using computers and filing systems

  • Logistical and Event Coordination and Support:

  • Assist in planning and coordinating departmental events, workshops, and conferences, including venue booking, logistics coordination, and participant communication

  • Provide on-site support during events, ensuring smooth execution and addressing any logistical or operational issues as they arise

  • Co-ordinate with the transport department for logistical support

  • Budget Management:

  • Ensure office is stocked with necessary supplies and all equipment is working and properly maintained

  • Collaborate with finance and procurement teams to ensure compliance with budgetary guidelines and procurement procedures

  • Perform any other duties assigned by Social Lead and Social Manager

Essential Qualifications and Education:

  • Bachelor's degree in Business Administration, Communications, Sociology, or related field preferred

  • 3+ years of relevant work experience with proven experience in administrative support roles, preferably in a social department or related environment

  • Strong organizational and interpersonal skills and attention to detail, with the ability to prioritize tasks and manage multiple workloads simultaneously

  • Excellent written and verbal communication skills, ability to develop and maintain cooperative working relationships with stakeholders involved in project operations

  • Ability to work independently with minimal supervision and as part of a collaborative team

  • Flexibility and adaptability to changing priorities and deadlines in a fast-paced environment

  • Knowledge of social issues and familiarity with social programs and initiatives is desirable but not required

  • Ability to analyze data and verbal and written communication with ability to write reports

  • Good reporting skills, data management skills, comfortable using digital tools and databases, including Microsoft Office suite and project management tools

  • Fluent English language skills required
